Forms

Filling in forms is part of almost every workday. But when forms are scattered across paper, Excel files, or email inboxes, information gets delayed, lost, or left unprocessed.

Kiho’s Forms module brings all data collection into one place. It works on both mobile devices and browsers, making it easy to use whether you’re in the field or at the office. Your team can create custom forms with the exact fields they need—so information is recorded consistently, on time, and delivered to the right person.

Kiho is a powerful tool, and the Forms module helps you get your data collection under control—without paper or messy email chains.

Kiho is a powerhouse application with Forms Module that gets your data collection sorted in one go — without paper or email attachments.

Digital forms that move with the work

Kiho forms follow the job—whether you’re in the field, handling maintenance, on site, or on the road. They’re filled out directly on mobile or in a browser, and can be linked to tasks or maintenance jobs. Once completed, the form is automatically submitted for processing or sent in a standard format to the right recipient, such as a foreman, customer, or archive.

That means no more forgotten observations, missed inspections, or lost paperwork along the way.

How Kiho’s  Forms Module Works in Practice

1.

Fill in digital forms anywhere, anytime

Forms are completed directly on a mobile device or in a browser — quickly and on the field’s terms.

Example: An employee fills in the vehicle’s daily pre‑departure inspection form on their phone before the workday begins. The form is transferred automatically to the company archive.

2.

Build forms to match your exact needs

Field types, drop‑downs, text boxes, numbers, attachments — define each form the way you want. Forms can also be attached to jobs or maintenance tasks.

Example: The company wants to track safety observations. A form is created where the employee can describe the situation, attach a photo and select the risk level. The form is forwarded, with a notification, to the safety officer.

3.

Automatic delivery to the right recipient

Completed forms can be sent automatically to a default recipient — or the recipient can be routed based on the form’s content.

Example: Safety‑observation forms go straight to the HSE manager’s email, while maintenance and vehicle‑inspection forms are forwarded to the fleet coordinator.

4.

Mark as processed and monitor status

A form can be marked as processed, giving responsible parties a real‑time view of what has been acted on and what is still pending. This reduces unnecessary follow‑ups and delays.

Example: A housing association representative reports snow‑plough damage on the property. The driver’s completed form is already being processed; the information is stored and the company is on top of the situation.
